Create a basic smart form in Admin Settings

Why is this important?

This is the first step to configuring a smart form with all its features on offer!

This article will show you how to create a basic smart form. 

This will allow you to:

  • Access the form from the jobseeker or placement's toolbar

 

How it works

This admin setting lets you choose the Quest form you want to showcase on the placement or jobseeker toolbar.

You select whether or not you want it to be submittable multiple times, from that toolbar shortcut. The last submission will override the last one. 


How to Create a basic smart form

In order to make a basic smart form, you will need to have completed the below steps:

  • Create a Quest form
  • Add scores to a Quest form

 

You will need

  • Admin access in Job Ready

  1. Select the cog button on the very top of the job-ready main menu to access Admin Settings
     
  2. Scroll down and select Smart Forms

  3. Select '+'

  4. This modal is where you will turn an existing Quest form of your choice into a Smart Form. Fill in all mandatory fields as below.

    1. The name of the form as it will appear in the record's toolbar

    2. Select the category you wish the Smart Form to be located.
      • Jobseeker: The smart form will be visible on the Jobseekers record page

      • Placement: The smart form will be visible on any placements record page.
        Note: You can only select either Jobseeker or Placement. Should you wish the same quest form to appear on both toolbars, clone the form and create a versioned labels, then upload accordingly.


    3. Select the program you wish the smart form to be available.
      Note: You can only select either one program. Should you wish the same quest form to appear on various ribbons, duplicate the form and create a versioned labels, then upload accordingly.


    4. Select the Quest form you have created previously in Quest. This will make this form a smart form.

    5. Indicates if the form can be completed again directly from the toolbar.
      • No: For one-off assessments. The form will be submitted once from the toolbar, and then display a view button in the toolbar for the submission to be easily reviewed. 

      • Yes: Indicated that the form can be attempted from the toolbar multiple times.The most recent submission will override the previous and be available for viewing from the toolbar. 

        The Smart Form will now have a "+" next to it in the toolbar. This signals that the form can be completed again.


    6. Add assessment outcomes to your smart form
       
  5. Select Create Smart Form, to stop here.

That's your basic smart form done and ready to use!

A log of all your smart form submissions appears in the forms tab of the record.
