Communication - SMS Set Up

Here we will guide you through how to create an SMS, SMS templates, where SMS's can be sent from in Job Ready and how to go about setting up MessageMedia.

Sending SMS's through Job Ready is feature that needs to be enabled and is serviced by MessageMedia. To further discuss this please contact Job Ready support and we will work with you to set this up.


Please Note: When using MessageMedia, the provider staff need to manually validate the Sob Seeker’s phone number and the text to be sent. The mobile number is populated initially by Job Ready. *There is a risk of a privacy breach should the provider staff member enter an incorrect phone number. There are no system controls available to prevent such a breach.

SMS character limits are at the discretion of your administrator, you may have a limit to the amount of SMS able to be sent.

Please consult your administrator for more information.

A standard SMS is 160 characters. Should you use more than 160 characters the sms will be sent as one message however you will be charged for 2.

 

SMS Templates

As the Administrator you can set up SMS Templates for your users. These templates can be accessed from every window allowing SMS's to be sent in Job Ready.

Should the Administrator need to increase the character limit please do this by following step 5.

  1. To create an SMS template select Admin.

  2. From the Admin Settings window select SMS Templates.

  3.  Here you will see a list of SMS templates that have been created by your organisation.
    To add a new template select SMS Templates +.

  4. Add SMS Template window will allow you to customise your message.
    Here you can select Show Mergeable Fields and proceed to select any fields you would like to see in your template.
    The Categories you select will be where the template can be accessed in Job Ready.

    When you have completed the template select Create SMS Template.

  5. As the Administrator you can increase the number of characters available to be sent in an SMS.  
    Select Options in the Admin Settings window.

    From here you can edit the settings.

    Note: Please be aware of the limits your organisation have set and the reasons why. There are charges involved with increasing sms limits.

 

Sending an SMS to an individual Job Seeker

  1. On the dashboard under the Job Seeker tab select All Job Seekers

  2. Search for the relevant Job Seeker by selecting + Add Filter

    then select Apply

  3. When you have found the Job Seeker select their name to view their profile.
    On the left hand side select SMS. In this view you will also be able to see and SMS communication.Screen_Shot_2020-08-12_at_10.21.37_am.png
  4. Then select SMS +

  5. The New SMS To: Job Seeker window will allow you to either select a Template SMS or you can customise the SMS in Content. A valid phone number will need to be entered if one has not auto-populated.

    When ready select Create Short Message

Sending an SMS to multiple Job Seekers

  1. On the dashboard under the Job Seeker tab select All Job Seekers.

  2. Search for the relevant Job Seeker by selecting + Add Filter.

    then select Apply.

  3. When you have filtered to the required Job Seekers select Bulk Actions then Send SMS.Screen_Shot_2020-08-12_at_10.55.22_am.png
  4. The Send Bulk SMS window will display the Job Seekers who will receive the SMS and their phone numbers. This window will prompt you if a Job Seeker does not have a phone number in their profile by displaying Unknown and a X before their name.
    Either select a template or customise your SMS in the Content section.

    When ready select Send SMS.
