Job Ready Comms Module - Email Replies, Read Receipts, and Enhanced Email Features

The Job Ready Comms Module offers comprehensive email management features, including the capture of email replies, tracking of email read receipts, and enhanced functionalities for handling attachments and OAuth 2.0 authentication. This article details these features, implementation requirements, and the steps users need to take to ensure proper setup and usage.

Key Features

  1. Email Replies Capture
    • Automatic Capture: The module captures email replies, which are displayed within the same email chain or line item as the original email, allowing users to track conversations effectively.
    • Multiple Replies: Users can engage in multiple replies within an email chain. When replying, the content and subject of the previous email are automatically pre-filled.
    • Message Count: The system records and saves the number of replies received in a particular email loop, providing a clear audit trail of communications.
    • Attachments: Both users and job seekers can send attachments with their emails and replies. When a user sends an attachment, the actual file is sent. When a job seeker receives an attachment, a link is provided, which can be clicked to download the file.
  2. Email Read Receipts
    • Read Receipt Tracking: The module can track whether an email has been read by the recipient. This feature requires that the mailbox in use is AWS SES certified.
    • Implementation Requirements: Clients must enter their AWS SES-certified mailbox credentials into the email gateway panel within the admin settings.
  3. Audit Trail for Communications
    • Tracking Communications: Users can access an audit trail of emails to and from job seekers and employers, enabling effective tracking and management of communications within the Job Ready system.

Implementation and Configuration

  1. Microsoft OAuth 2.0 Authentication
    • IMAP Settings: Users opting for Microsoft OAuth 2.0 can access the IMAP setting modal from the email gateway module. Both basic authentication and Microsoft OAuth 2.0 options are available.
    • Token Entry: When selecting OAuth 2.0, users must add the tokens for Tenant, Client, and Client Secret. After adding the tokens, users can test the connection and save the settings.
  2. AWS SES Integration
    • SMTP Server Selection: To support sending emails via AWS SES, two new items have been added to the Email Gateway settings form:
      • A dropdown for SMTP Server with options "AWS SES" and "Other."
      • Inputs specific to AWS SES within the Admin - Email Gateway settings.
    • Configuration: Emails can be sent using AWS SES SMTP credentials once configured.
  3. Background Configuration
    • Implementation Support: To authenticate emails and validate IMAP settings, background configuration is required. This will be handled during the implementation process by the Job Ready Support Team.
