User Roles

In Job Ready there are two primary roles: User and Admin.

Admins can access special reporting features in the site. In order to configure admin settings, the permission Can manage Admin Settings must be ticked in their user profile. See User Permissions.

Administrator

Access to all system functionality, including access to all system configuration and user management. 

Can also delete notes and attachments, and restore notes.

Permissions are required for additional access explained below.

User

Access to all system functionality.

Cannot delete notes/attachments or access system configuration. 

Site Manager

This role is no longer supported. Site Managers should be provisioned access to User role, with respective permissions and delegations.

Finance 

This role is no longer supported. Finance role gives access only to the expenses section of Job Ready. Finance users should be provisioned access to User role, with respective permissions and delegations.

 

Caseload Partitions 

For organisations with multiple programmes (contracts) and sites, Job Ready offers the ability to partition the system based on the permissions for users to access data across the business. For example, if your organisation has Jobactive and DES and a user is only permitted to access DES jobseekers, this can be set on the user profile.

Similarly, if a user is only permitted to access jobseeker data from selected sites in the business, restrictions can also be set.

Notes:

- if there are no restrictions - the user can access jobseeker data across all sites. 

- this is an optional feature.

User Permissions

To grant exceptions to the core roles, the following permissions are available for users. Note these are in addition to the base line capabilities above.

Allows the creation and management of Regional Employer records

Jobseeker management - Allied Health Activities

Allows access to Allied Health records, can create an Allied Health Record

 

DEPRECATED

Can mark as Non Payable

Outcome claim management

Can update the claim state to Non-Payable.

Can mark as not Non Payable

Outcome claim management

Can undo a claim state from Non Payable to payable.

Can stop PPS schedule

Post Placement Support contact

Can remove the Next Support Due Date on the Placement Support schedule. Removing the placement from the Support Tracker.

Expense Master Editor

Finance - Expense generation and approval

Allows full editing of expense records post approval. Can also edit details such as finance statuses, supplier details and invoice.

Can reinstate claim

Outcome claim management

Can update claim state from Cancelled. Used mainly to support CCU Kanban feature.

Can export data

Reporting

Can export of data from list pages into a csv. file.

Can view confidential notes

Notes

Can view all notes marked as confidential.

Can cancel expense

Finance - Expense generation and approval

Can cancel an expense that has been raised, at any time. 

Vacancy ESS service

Vacancies -  ESS service

Allows user to push a vacancy record from Job Ready to ESS via API.

Employer ESS service

Employer -  ESS service

Allows user to push a vacancy record from Job Ready to ESS via API.

Create DES Placements

Placements –Outcome claim management

Allows user to manually create a DES placement.

Can remove wage history

Placements - Outcome Tracking/ Outcome claim management

Allows user to delete a wage history item.

Can manage claim states

Outcome claims management

Can edit a claim’s state in CCU Kanban or from Claims panel of a jobseeker / placement.

Can send bulk sms

Jobseeker - SMS

Can send multiple SMSs at once in bulk actions from jobseeker list page.

Can update tracking behaviour

Support Tracker and Outcome Tracker

Can change outcomes to:

·       Tracking, or

·       Do not track

in bulk actions from All Placements, Support and Outcome Tracker List Pages.

Can send bulk email

Jobseeker – Email

Can send multiple emails at once in bulk actions from Jobseeker List Page.

Can bulk update support schedule

Support Tracker

Can change the upcoming support contact dates, managed by fields, and support frequency in bulk from the Support Tracker list page.

Can access all employers listing

Employer CRM

Can access the Employer list page including Suppliers and other company types.

Kanban board read only

Outcome claims tracking and management

Can view the Kanban board but blocks access to edit.

Tableau license

Indicates that the user can access the following Tableau reports:

·       Current prospects by stage

·       Revenue prediction

Can access all contacts listing

Employer CRM

Can access the Contacts list page under Employers.

Can approve own expenses

Finance – Expense generation and approval

Can approve any expenses the user created themselves within the users delegation i.e if user has $50 delegation, they can approve their own expense up to $50. 

Show in user lists as active

Administration – User management

Enables the user name to be visible in drop down lists as active. Will have a tick under the “Active” column of the Users report in Admin settings. 

Can merge jobseekers

Jobseeker Management

Ability to merge Jobseekers from the Jobseeker List Page.

 

Other permissions:

Delegate

Finance - Expense generation and approval

Grants another user authority to approve expenses on their behalf. This field specifies that user.

CCU Role

Role of the user in the CCU, either Manager or Member

Manager:

·       Can bulk assign claims to CCU users.

·       Can process all claims.

Member:

·       Can process claims assigned to them only.

Can manage Admin Settings

Administration

When ticked: Can edit Admin settings. This permission is only checkable when the Admin role is selected.

Expense Delegation

Finance - Expense generation and approval

Cost limit that the user can approve expense requests up to. If an expense total cost exceeds this limit, the user will not be available for selection as an approver on an expense. 

Optional feature is to set delegations per programme e.g DES, Jobactive 

Professional Services Staff

Professional Services Settings

Users linked to Professional Service Staff can add Health Activities when the Program Referrals feature is in use.

Site Managers

Site Managers on Sites

Users linked to Sites as Site Manager can approve Wage Subsidy and Program Referrals when the features are in use. 

Regional Managers

Regional and Executive Managers on Regions

Users linked to Regions as Managers can intercept approval for Wage Subsidy and Program Referrals when the features are in use. 

Time zone 

Administration

Users can be set specific time zones that will apply to logging of activity in Job Ready. If a time zone is not set, the times will default to AEST.
