How to set up the invitation email / sms
You will need:
- Admin access
- Message media / SMS set up in your site
Needed for conguring SMS invitations only.
Contact job ready to discuss your options, if you would like SMS enabled in your site.
- Click on the admin settings cog located at the top of the job ready main menu
- Click on Options
- Enter the appropriate details in the fields under Job Seeker Portal, as below:
- The subject line of the invitation email. This invitation email will get sent to the job seeker when a consultant first invites them to the portal.
- The text body of the invitation email. This invitation email gets sent to the job seeker when a consultant first invites them to the portal.
Try positioning your desired custom text around the following merge fields:%{invitation_url}
This merges the jobseeker portal URL into the email, once it is dispatched.
It is compulsory to include this somewhere in the text body of your invitation email.- Example: "One of our staff has invited you to the portal!
Try this link: %{invitation_url}. Set up your portal account, and you will hear from us shortly."
- Example: "One of our staff has invited you to the portal!
%{jobseeker_first_name}
This merges the jobseeker's name into the email once it is dispatched.
This is optional and can personalise your email.- Example:"Hi %{jobseeker_first_name},
To use the portal, click here: %{invitation_url}. "
- Example:"Hi %{jobseeker_first_name},
- The text body of the invitation SMS. This text message gets sent to the job seeker when a consultant first invites them to the portal, via SMS.
- This setting is only available if you already have SMS configured in job ready.
Try positioning your desired custom text around the following merge fields: %{invitation_url}
This merges the job seeker portal URL into the SMS, once it is dispatched.
It is compulsory to include this somewhere in the text body of your invitation sms.- Example: "You can now the jobseeker portal! click here: %{invitation_url}. "
- This setting is only available if you already have SMS configured in job ready.
Testing emails in staging
When testing in staging, you must first whitelist any outgoing emails by following the below steps:
- Go to the admin settings cog icon, located at the top of the job ready main menu
- Click on Email Interceptions
- Under the heading Whitelisted Emails, enter the email address that the test email will be sent to
- Click on Job Seekers from the job ready main menu
- Click on New Jobseeker
- Enter the test email into the email field of the job seeker record. You may enter fake data for the remainder of the fields if needed to progress with the record creation.
- Click Create Job Seeker
- Scroll down to the Job Seeker Portal Info tab of the job seeker record
- Click on Send Invite By Email
The recipient of the test email should receive the content you have set up in admin settings.
