Why is this important?

You can save claim IDs derived from ESS into an expense for personal reference and to ensure everything is linked to ESS data. Claim IDs will sync commitment and reimbursement information from ESS via the claims BDF, if entered in the claim ID field. 

Claim IDs can be stored manually for other expense types if desired, such as Wage Subsidies and ParentsNext Participation Fund.

How it works

Once claimed in ESS, via the Edit finance status section of an expense record, you can enter the claim ID from ESS. This is entered manually by admins. 

How to add a claim ID into an expense

In order to add a claim ID to an expense you will need to have completed the below steps:

• Create a general expense or Create a Supplier Purchase Order
  

   

You will need:

• ESS access

• Admin access or Master Expense Editor
  
  

1. Go to Finance from the job ready main menu
2. Click on All expenses
3. Click on the eye button of the desired expense
4. Go to the toolbar > Edit finance status
5. Copy the Claim ID from ESS and paste this into the 'Claim ESS ID' field.
   
   
   

• The export state of this expense will change to 'Claimed'.
• Claim details and commitment and reimbursement details, if applicable, will sync via the BDFs into JobReady daily using this ESS claim ID.
  
  

Enter a commitment ID to an expense 

1. Go to Finance from the job ready main menu
2. Click on All expenses
3. Click on the eye button of the desired expense
4. Go to the toolbar > Edit finance status
5. Copy the commitment ID from ESS and paste this into the 'Commitment ID' field.
6. Click Save
   
   This will now be displayed in the ESS Claim Details panel on the expense showpage.
