Upcoming Changes to User Roles and Permissions

We're thrilled to share an important update that revolutionises how administrators control user access and permissions within our platform. This change is a direct response to valuable feedback from you - our customers - aiming to make managing users easier, more intuitive and consistent. Additionally, these changes will help improve our Alerts module, meet global security standards, and allow for the roll out of Microsoft Entra ID integrations.

Timeline

First steps

We will remove built-in roles such as Site Manager, Finance roles, and Admin (without admin settings management). These will be converted to standard users, with appropriate permissions migrated with the aim to ensure a consistent user experience.

Standard users of Job Ready should not notice any considerable changes during the transition or setup period.

Next steps

  • April 1st - Role Setup and Bulk Assignment Tool Availability: You'll have access to the new roles setup and bulk assignments tool, marking the beginning of the transition period.
  • April 1st - May 6th - Setup Period*: During this time, you'll have the opportunity to configure roles and permissions. Your organisation will be able to create up to ten roles in Admin Settings. Existing permissions will remain active to ensure continuity until the cutover.
  • May 7th - Final Transition: Following the setup period, user-specific permissions will be migrated to the new role-based system, streamlining access management going forward.

*During the setup period, permissions will be maintained on individual users until the transition is complete, ensuring uninterrupted access to necessary features and functionalities.


What do I need to do?

  • Direct Setup: There will be no automatic migration. Instead, we will introduce the new role configuration feature and provide a two-week setup period. This approach allows for careful planning and transition without impacting current operations.
  • Stay Informed: Communication is key to a smooth transition. We will be proactive in keeping you informed, but please make sure you keep an eye on release notes, training manuals, in-app communications and are responsive to direct outreach from your Customer Success Manager.
  • User Assignment Reports: We can provide reports to identify any users not assigned to a role, ensuring no one is left behind in the transition.


What's new

Flexible Role Assignment:

Our new system allows for the assignment of users to either a single role or multiple roles, enhancing the efficiency of user access and permissions management. For instances of role assignments with conflicting permissions, users will retain access to functions in an enabled state.

Consistent Permission Levels:

The permission structure within these roles will align with the existing user permissions framework. This consistency ensures an easy transition to the new role-based model, minimising the learning curve for administrators.

Customisable to Your Needs:

Recognising the diverse needs of different organisations, we are empowering you to define up to ten roles as per your specific requirements.

Streamlined Management via Bulk Assignment

To facilitate easier migration and long-term management of user roles, we are developing a bulk assignment tool. This will make it more efficient to manage large numbers of users with varying access needs.
